Your Responsibilities

  • Provide secretarial and administrative support to lawyers, including managing incoming and outgoing mail, preparing documents, and handling filing systems both digital and hard copy ensuring accuracy and confidentiality.
  • Assist with legal procedures, billing processes, and expense reporting, allowing lawyers to focus on client matters while you ensure seamless operational support.
  • Organise calendars, plan and book travel, arrange meetings, and manage contact databases, contributing to the efficient coordination of both internal and external activities.
  • Act as a key player in client reception, ensuring a high-standard welcome and experience for guests and internal stakeholders alike, while upholding the firm's professional image.
  • Support the setup of meeting rooms, including catering and AV coordination, and collaborate with vendors and the IT team to ensure smooth execution of events and video conferences.
  • Contribute to the overall upkeep of the office, including guest services procedures, supplier liaison, and security monitoring, fostering a workplace where everything runs smoothly behind the scenes.

Your Profile

  • Bachelor's degree or equivalent experience in a relevant administrative or assistant role.
  • Fluent in both French and English; any additional language is a plus
  • Excellent communication skills, attention to detail, and a client-focused mindset
  • Able to multitask and stay calm under pressure, showing flexibility and initiative
  • Proficient in Microsoft Office tools (Word, Outlook, Excel, PowerPoint), with strong time management and organisational abilities.
  • Trustworthy, discreet, and professional, able to work independently while fostering strong relationships across the firm.
