Our client is an international Private Equity Real Estate company based in Düsseldorf. Headquartered in London, the company is a globally leading owner, manager and developer of Logistics & Light Industrial Real Estate.
Main Responsibilities
- Responsible for organising internal / external meetings, organising events, booking travel, hotels, restaurants and couriers
- Act as the point of contact for the team for internal and external stakeholders, identify where additional support can be given and help manage the demands of the team
- Collate and produce high standard documents, including production and editing of PowerPoint presentations
- Maintain any filing and database systems, carrying out regular reviews to ensure the accuracy and efficiency of these
- Receive all incoming telephone calls and visitors to the Dusseldorf office
- Maintain accurate log of entry keys / issuing new keys as well as managing parking spaces
- Maintain stock, including, ordering and restocking of all office supplies
- Reviewing offers for completeness and accuracy
- Manage office related contracts
- Implement and monitor sustainable practices for office operations
- Maintain office efficiency by planning and implementing office systems and equipment procurement
- Ensure office is compliant with regulations including first aid trained staff, evacuation procedures, health and safety, etc
- Setup the office each day and ensuring the general cleanliness and tidiness
- Manage and maintain electronic equipment for staff
- Set up rooms appropriately for meetings, including ordering food, serving drinks, and following up on other requests
- Assist with the planning of management meetings and senior management related events
- Support organising business trips and asset tours
- Process and monitor invoicing via the financial and asset database
