About the role...
Provide proactive and high-level office management and ensure a well organised day-to-day functioning for Faculty of Law Economics and Finance. Build and maintain trusted relationships, in order to enable management to operate in an effective and efficient manner. Able to anticipate or recognize issues and refer them immediately to the right person for resolution.
More specifically, this role entails the activities below :
- Provide day-to-day assistance and support to the "Réforme du code civil Luxembourgeois" project activities, ensuring administrative and organizational matters are carried out in a confidential and efficient manner
- Receive, prioritize, handle and forward incoming communication to the right person within the organization
- First contact point for visitors
- Organize and plan internal and external meetings, events and professional trips
- Prepare and contribute to internal reporting and presentations for the entity
- Coordinate purchase orders, follow up invoices and reimbursement of expenses
- Distributing, and administrating office supplies / marketing material / IT equipment / books / furniture
- Support and / or manage activities related to the inventory process
- General secretarial tasks i.e., telephone, e-mails, correspondence, dispatching, filing and archiving
