Position Summary

Bentley’s Facilities department is looking for an experienced Facilities Administrator to support our EMEA region, reporting directly to our EMEA Facilities Manager. The Facilities Administrator will oversee the Munich office and keep it running smoothly. This includes addressing the day-to-day facilities issues that arise, purchasing office supplies / equipment through Bentley’s purchasing systems, managing office access for visitors as well as maintaining common areas. Additionally, this role will work closely with our Regional Manager to support EMEA with various facilities and administrative tasks.

Your Day-to-Day :

• Meeting and greeting users and colleagues
• Overseeing general office operations including but not limited to : Access control system management Vendor, landlord, contractor liaison Finance duties – invoices, PRs / POs Management of meeting rooms First Aid / Fire Warden training / Risk Registers Incoming post / courier management and distribution Ordering supplies – stationery / amenities
• Distribution of fleet car documentation including service messages, fuel cards, insurance, and fines.
• Acting as facilities representative for other EMEA offices where there is no local facilities colleague in place
• Sitting on the social committee
