As an Event Coordinator (m / f / d) at Frontnow, you will be a key member of our Marketing Team, responsible for the end-to-end planning and execution of industry-leading events across DACH, UK, and the USA. Your role will involve organizing conferences, masterclasses, trade fairs, webinars, and exclusive company events, ensuring they align with our Go-to-Market strategy and drive brand awareness, lead generation, and customer engagement. You will work closely with Sales, Customer Success, Business Development, and HR to create impactful event experiences that position Frontnow as a thought leader in the B2B SaaS and E-Commerce industry. Tasks 1. Event Planning & Execution Full ownership of Masterclasses, Trade Shows, Webinars, and Exclusive Events in DACH, UK, and the USA End-to-end event management : concept development, logistics, budgeting, and execution Coordination with internal stakeholders and external partners to ensure seamless event delivery 2. Trade Shows & Conferences Selection and booking of trade show spaces, sponsorship opportunities, and speaking engagements Coordination of booth design, branding, and on-site logistics 3. Masterclasses & Thought Leadership Events Managing speaker participation, briefing sessions, and presentation materials Coordinating with event organizers to ensure smooth execution Overseeing technical setup and audience engagement strategies 4. Webinars & Digital Events Planning and execution of virtual events including speaker coordination, content development, and technical setup Promotion through email marketing, social media, and partner networks Post-event analysis and lead handover to Sales 5. Exclusive Company Events & Networking Initiatives Organizing Executive Dinners, Roundtables, and Partner Events Managing venue selection, catering, invitations, and on-site experience Ensuring high-value networking opportunities for key customers and partners 6. Event Promotion & Lead Management Collaboration within the revenue department to align events with lead generation and branding goals Developing promotional materials and campaigns to maximize attendance Tracking event performance, analyzing key metrics, and optimizing future strategies 7. Budget & Project Management Managing event budgets, negotiating vendor contracts, and ensuring cost efficiency Implementing project management best practices to streamline execution Evaluating event success and preparing reports for internal stakeholders Requirements Degree in Event Management, Marketing, Business Administration, or a related field (Bachelor’s or equivalent). Alternatively, relevant vocational training in event planning or marketing with proven experience 2–3 years of professional experience in event coordination Technical Skills : Experience with Livestorm for virtual events and webinars Proficiency in HubSpot for event-driven lead tracking and follow-ups Strong command of Asana to coordinate event planning and execution Experience with Figma and Canva for event materials, presentations, and promotional assets Familiarity with Google Workspace (Docs, Sheets, Slides, Drive, Meet) for team collaboration and event coordination Understanding of HubSpot workflows and email campaigns to support event promotion and attendee engagement Ability to track event budgets, negotiate contracts, and manage external vendors Experience in using LinkedIn and other channels for event marketing Coordination of AV setup, logistics, and venue management for live events Competence in analyzing event data using HubSpot, Livestorm analytics, and Google Workspace tools to measure success and optimize future events Soft Skills : Organizational Excellence Strong Communication Problem-Solving & Adaptability Project & Time Management – Structured approach to deadlines, budgets, and execution Creativity & Innovation Negotiation Skills Customer-Centric Approach Stress Resilience If your experience is close but doesn’t fulfill all requirements, please apply.
