Position overview
We are looking for an experienced and highly organised Office Manager to join our dynamic team in Berlin. Situated near Alexanderplatz, our office supports a growing team of 50 employees. This role is pivotal in ensuring the efficient operation of our office, facilitating employee onboarding, and providing essential IT and facility support. The ideal candidate will play a key role in maintaining a productive, safe, and welcoming environment.
Key responsibilities
- Onboarding & Inductions : Conduct facility inductions, assist HR / IT with new employee onboarding, issue and store devices, manage access fobs.
- Office Maintenance : Oversee coffee machine, manage office supplies, ensure cable organisation, stock printers, and maintain meeting room tech.
- IT Support : Assist with Wi-Fi and connectivity requests, support the IT department with equipment setups.
- IT Storage : Responsible of storage of IT equipment and consumables, ensuring via coordination with the IT management team that the stock on site is aligned with needs and replenished accordingly.
- Travel & Meetings : Book travel (flights / accommodation) for employees, coordinate meeting room bookings and setup.
- Project Management : Manage office projects, including furniture and security installations, attend tenant / landlord meetings.
- Visitor Management : Log and supervise office visitors, assist with meeting room bookings.
- Mail & Courier : Handle incoming / outgoing mail, scan important documents to relevant departments, manage courier shipments.
- Health & Safety : Serve as First Aider and Fire Warden, complete office risk assessments.Act as the office's Qualified First Aider and Fire Warden, ensuring compliance with health and safety standards.
