We're seeking a reliable and highly motivated individual to join our team as an Executive Support Specialist. In this role, you'll be the right hand to our new Area Managing Director and certain Area Leadership Team (ALT) members, providing crucial support across various administrative and organizational tasks.
Key Responsibilities :
Strategic Calendar Management : Independently plan, organize, and monitor appointments and business trips for key executives, ensuring seamless coordination and efficiency.
Meeting Mastery : Take charge of meeting logistics, from crafting detailed agendas to capturing essential minutes, ensuring that meetings run smoothly and objectives are met.
Administrative Expertise : Provide administrative assistance by composing and editing emails, drafting memos, and preparing various communications to uphold professional standards.
Research Maven : Conduct thorough research on diverse topics, delivering valuable insights to inform strategic decisions and initiatives.
Event Coordination : Play a pivotal role in organizing and administering company events, including town halls, offsite meetings, and more, to foster collaboration and engagement across the organization.
Project Support : Assist with projects and contribute to the development of corporate communications, demonstrating your adaptability and versatility.
Financial Oversight : Exercise meticulous control over credit card usage and invoice accounting, ensuring compliance and accuracy in financial transactions.
Back Office Brilliance : Handle administrative and back-office activities, including maintaining the mailbox and managing essential documentation, to keep operations running smoothly.
Preferred Qualifications :
Language Proficiency : Fluent in both English and German, enabling seamless communication and collaboration in our multicultural environment.
Educational Background : Successfully completed commercial vocational education or a comparable qualification, providing you with a solid foundation for success in this role.
Professional Experience : Previous experience in an assistance function or a similar position, demonstrating your ability to thrive in a fast-paced, high-pressure environment.
Organizational Acumen : Exhibit exceptional organizational talent, coupled with structured and solution-oriented work habits, to manage competing priorities effectively.
Professional Demeanor : Possess a friendly yet professional demeanor, coupled with discretion and loyalty, to build trust and rapport with key stakeholders.
