Staff Assistant
MAJOR FUNCTION
The Staff Assistant position will be housed in the Student Services Advising Division and will report directly to the Director.
This position performs a variety of clerical / secretarial and administrative support functions of moderate scope and complexity requiring exercising considerable judgment and initiative.
Primary duties will include, but are not limited to :
Provides customer service to prospective and current students and visitors to campus at the front desk serving the Advising Center, Career Center, and International Student Services.
Provides detailed information and answers a variety of questions related to admissions, orientation, advising, and registration processes.
Provides support in processing forms, reviews information in the TCC student information system and interprets several information screens.
Assists in troubleshooting and solving problems related to student advising issues. Provide appropriate referrals to other campus departments and programs.
Assist Advising staff with projects, trainings, and events. Maintains and assists with databases.
Maintain Academic Advising Center maintain clean area and well-stocked with programs and brochures.
Attend required staff meetings and trainings. Other duties as assigned.
MINIMUM TRAINING AND EXPERIENCE : Graduation from a standard high school or equivalency diploma and four years of progressively responsible secretarial and / or clerical experience or a combination of education and experience.
SUCCESSFUL APPLICANTS WILL DEMONSTRATE THE FOLLOWING : Knowledge of windows operating system and Microsoft Office suite (i.
e. Word, Excel, Outlook, etc.) Knowledge of basic research methods and techniques, including internet research. Skilled in operating a personal computer for word processing and information gathering.
Skilled in time management and punctuality. Ability to perform a variety of complex, difficult and multifaceted administrative support duties, requiring significant follow-up, follow through, and attention to detail.
Ability to draft and type a variety of correspondence, memoranda, reports, statistical analyses, and other materials. Ability to communicate effectively verbally, and in writing, with others.
Ability to multi-task, especially with constant interruptions. Ability to Prepare and maintain accurate and complete records and files.
Ability to work both independently and cooperatively and with others, as a member of a team. Ability to handle multi-line telephone systems and demonstrate proper telephone etiquette.
