Mission
For one of our clients located in Luxembourg Gasperich, Sofitex Talent is currently looking for an
Office Management Assistant (M / F)
Key Responsibilities :
Run office reception desk
Organise booking and prepare meeting rooms to be ready for visitors / colleagues and ensure tracking attendance list of external guests
Sort and distribute incoming and outgoing post and organise couriers
Ensure evidence of incoming invoices, scanning and preparation for payments
Scan and copy documents and take care of the filling and archiving in collaboration with the FLS team
Order office supplies and equipment
Be the person of contact for suppliers, facility manager and other service providers for the office and ensure functionality of office equipment (printer, franking machine, shredder container, kitchen)
Manage business trips booking (transport, accommodation, taxi), processing business trip summaries and organise their approval
Organise team and external events and in-house lunches
Assist in the set-up of the working spot and onboarding schedule for new hires
Support country manager with HR related administration tasks
Implement and maintain office administration procedures
Profil
Profile :
Previous similar experience in Luxembourg as an Office Clerck
Language skills : Fluency in English is required. French and German would be an asset
Organisational skills
Excellent communication and interpersonal skills
Team player and ability to work with a wide range of personalities
Helpful, service oriented and trustworth
This is an opportunity for a 1 year interim or cdd contract to start ASAP
Salary between 45 and 50 k€ depending on the experience
