Allied Clinical Management is looking for a Contract Assistant (full-time) to join our team as soon as possible to ensure and further develop operational contract management at our clients site in Berlin. As a Contract Assistant you will assist in the preparation documentation and archiving of standard and non-standard contracts in accordance with legal requirements and relevant global and local compliance regulations (European Federation of Pharmaceutical Industries and Associations).

This is a limited term contract position which ends on 31-Dec-2026 with a possibility of extension.

You will be responsible for the timely coordination of all contract-related logistics together with the project manager (Marketing/Medical Affairs) the Legal & Compliance function and external contractual partners.

You will be responsible for independently creating checklists for travel bookings and obtaining the necessary approvals from global and local compliance functions. You will handle travel bookings including direct communication with healthcare professionals and the Travel Board.

Additional tasks include:

• Maintaining the contract management database (contract partner master data contract data).
• Ensuring EFPIA reporting through purchase requisitions and/or transfer of values.
• Ensuring compliant reporting as per client IT systems
• Checking all incoming invoices and if necessary clarifying them with the contractual partners. Forwarding to the invoice receipt department and monitoring outgoing payments
• Budget management based on SAP postings and database-driven reporting to management

Qualifications

• Commercial training or comparable qualification with relevant professional experience in contract management
• Initial experience in project management (coordination planning execution and control)
• Very good knowledge of global compliance guidelines and EFPIA requirements
• In-depth knowledge of the following IT systems: CLMS LPC X YourDocs IQVIA Transparency SAP Smartbuy CONCUR
• Experience in working with third-party service providers (medical societies healthcare organizations agencies) and opinion leaders
• Ability to adapt to a fast-paced and international work environment
• Team player with a results-oriented committed and independent approach to work
• Very good written and spoken English and German skills
• A valid work permit for Germany at the time of application

Other information: Office work. No special requirements.

Benefits / Salary

Salary range: 3600046000 depending on profile and qualifications plus 30 days paid vacation per year
