GENERAL SUMMARY
The Coordinator, Global RFP Programs will assist and support an international RFP Programs department in all areas to successfully implement and maintain the daily and long-term goals set to create a productive and profitable global hotel program department. To work closely with the global sales directors, RFP department team coordinators, and hotelier members to achieve department goals and targets. Brand membership currently includes 700 hotels and growing.
ORGANIZATIONAL RELATIONSHIP
Under the supervision of the Vice President, Global RFP Programs with oversight from Vice President, Global Sales – Corporate Transient Europe, the Coordinator is a member of the Global Sales Division. Interaction supports sourcing hotels for selection into major global corporations, consortia, and leisure agency organization hotel travel programs through relationships managed by a global sales team. Training member hotels on contract software system, liaising with Regional & Area Managing Directors, Global Distribution Systems and Revenue Management / Reservations Teams globally, and Accounting.
DUTIES & RESPONSIBILITIES
A. Cvent Lanyon Vault Administrator – electronic web-based contracting tool, data entry & collection
B. Member & Associate system training including customer service support
C. Communication both written and verbal
D. Global RFP (Request For Proposal) Program bid releases and submission
E. Filing & Calendaring deadlines
F. Manage responsibilities to meet and exceed team revenue goals
G. Corporate Account Survey RFP division administrative duties
H. PreferredNet (company member intranet) maintenance and member customer service
I. Manage multiple simultaneous deadlines
J. Consortia billing / invoice maintenance
K. Routine departmental administrative duties
QUALIFICATIONS
Ideal candidate possesses strong organizational skills to plan and prioritize work while meeting multiple and simultaneous deadlines; highly accurate and consistent worker, excellent customer service skills, excellent communication skills; problem solving, ability to monitor / advise / coach, ability to work independently or collaborating as part of a team. Worker characteristics are normally acquired through experience in an administrative, hospitality or data systems processing related industry. Hotel sales, front desk or reservations experience desirable; ability to work in a fast-paced environment, exercise good judgment in associate relations. Able to meet and follow all company standards.
WORKING CONDITIONS
Working environment is a professional office in a shared work area. Office space is beautifully as well as functionally decorated including all required technology tools. Work is performed on web-based tools, email and telephone. Incumbent is seated most of the time. Work is done in the Munich Office, Monday-Friday, 9 : 00am-5 : 00pm.
