Job Description

As an Associate Management Assistant, you will play a vital role in supporting three senior managers in the Biomedicine team at Miltenyi Biotec. This is a dynamic and varied position within an international, highly innovative environment. Your role ensures smooth coordination of meetings, travel, budget tracking and event logistics, while acting as a point of contact across teams and departments. You’ll work closely with internal stakeholders and external partners—always with an eye for detail, structure, and proactive communication.

  • Take ownership of scheduling and organizing meetings, including room reservations, agendas, minutes, catering, and travel arrangements for internal and external participants.
  • Support and partially manage the preparation and coordination of department-level events such as advisory boards, annual conferences, and European meetings.
  • Oversee and manage travel bookings for the management team and international Key Opinion Leaders (KOLs), as well as related documentation and reimbursement.
  • Ensure accurate and timely processing of departmental expenses and maintain oversight of assigned budgets.
  • Act as a reliable administrative partner within the Biomedicine assistant team, contributing to seamless day-to-day operations and ensuring coverage during absences or vacation periods.

Qualifications

  • Completed higher secondary education (Abitur) or vocational training in business administration or a similar field.
  • At least 5 years of relevant experience in areas such as office management, hospitality, event coordination or travel support.
  • Highly self-organized and resilient with the ability to handle multiple priorities in a fast-paced, international work environment.
  • Strong team spirit, excellent communication skills, and a solution-oriented, service-minded attitude.
  • Very good written and spoken English and German; willingness to take and pass a level 4 language test (TOEFL or similar).
  • Confident in using MS Office (especially Outlook and Excel); knowledge of SAP is a plus.
  • Willingness to travel occasionally (approx. 4 times a year) and to be on-site in Bergisch Gladbach full-time, with up to 1 day / week home office upon approval.
