Overall Purpose of Job
The Administrative Assistant is responsible for assisting with day-to-day / administrative duties for the hospital.
Key Responsibilities
- Track and assist with in-processing and out-processing personnel
- File and retrieve documents and reference materials
- Collect data and prepare reports and documents
- Arrange and co-ordinate meetings and events
- Record, transcribe and distribute minutes of meetings
- Monitor, screen, respond to and distribute incoming communications
- Answer and manage incoming calls
- Receive and interact with incoming visitors
- Liaise with internal staff at all levels, while maintaining confidentiality
- Track and report facility and environmental issues
- Manages office inventory and equipment by performing consistent stock checks, anticipating needed supplies, placing orders for supplies
- Schedules maintenance for equipment service and repairs as needed.
- Actively participates in day to day office activities, including a variety of meetings and task force groups to improve procedural processes, obtain approvals, and remain abreast of new developments and policy requirements.
- Actively participates in Mass Casualty exercises and events.
- Performance of other duties as assigned
Experience Required
3 years’ experience providing administrative supportProficient computer skills and in-depth knowledge of relevant software such as MS Office SuiteKnowledge of standard office administrative practices and proceduresEducation Required
Current American Heart Association Basic Life Support (BLS) certification.Proficiency in English both in reading and writing.Physical Requirements
Work is normally performed in a typical interior / office work environmentWork involves sitting and standing for prolonged periods of timeMay require bending, stooping and lifting up to 15 lbsOther Special Requirements
Ability to obtain and maintain a clearance to drive company vehicles.Must be able to read, write and speak English to effectively communicate.This position is unaccompanied.Ability to obtain a DOS mandated clearance if one is required.Must be able to relocate to GermanyA valid passport is required and must be in your possession prior to relocation. You must maintain a current passport during your stay in GermanyAdditional Information
