Our client, a leading global ICT service provider, is recruiting for an Office Manager to join their business inGermany.
Job Description :
As the Office Manager for our Munich office, you’ll be responsible for a variety of office duties.
Sitting in reception, you will be the front line and first point of contact for our visitors.
You will also provide administrative support services to site leads and Senior managers.
This will include travel requests, expense submission and calendar management.
Responsibilities :
You must be customer service-oriented, resourceful, enthusiastic, and capable of multitasking. The primary objective of this position is proactively seeking means of improving the environment for all employees.
This role is open to a protective employee.
As an Office Manager, you will be responsible for :
Establishing procedures for office maintenance, working with the landlord on facilities related issues.
Managing office vendor relationships.
Implementing procedural and policy changes for the office to improve operational efficiency, ensuring office policies and procedures are adhered to.
Maintaining a safe and secure working environment, acting as Safety Officer for the office.
Working closely with the site led to support various initiatives, including planning and execution of internal events e.
g. DLCCC events, Office Days, Town Hall Meetings and Show and Tell Sessions.
Work with People Managers to arrange individual Team onsite and off-site events.
Coordinate local site / country communications, for example, contribute content to the regional newsletters and community web page.
Raising purchase order requests and working closely with Accounts Payable to ensure prompt and consistent payment of invoices.
Managing office supplies, food inventory, post and delivery services.
Providing administrative assistant to managers, HR and Finance departments.
Support initiatives as and when required, e.g. Wellness campaigns and Green Team activities.
Other administrative and secretarial tasks in the office.
Requirements :
To be successful in this role you will :
Have strong communications and networking skills, in order to develop relationships with both Office based and remote workers.
Action-orientated individual, who gets tasks completed in a timely manner.
Have knowledge of clerical practices and procedures.
Have knowledge of business and management principles.
Have computer skills (Microsoft Office) and knowledge of other office software packages.
Have fluency in German and English.
