Company Profile

Our client is an international Private Equity Real Estate company based in Düsseldorf. Headquartered in London, the company is a globally leading owner, manager and developer of Logistics & Light Industrial Real Estate.

Main Responsibilities

  • Responsible for organising internal / external meetings, organising events, booking travel, hotels, restaurants and couriers
  • Act as the point of contact for the team for internal and external stakeholders, identify where additional support can be given and help manage the demands of the team
  • Collate and produce high standard documents, including production and editing of PowerPoint presentations
  • Maintain any filing and database systems, carrying out regular reviews to ensure the accuracy and efficiency of these
  • Receive all incoming telephone calls and visitors to the Dusseldorf office
  • Maintain accurate log of entry keys / issuing new keys as well as managing parking spaces
  • Maintain stock, including, ordering and restocking of all office supplies
  • Reviewing offers for completeness and accuracy
  • Manage office related contracts
  • Implement and monitor sustainable practices for office operations
  • Maintain office efficiency by planning and implementing office systems and equipment procurement
  • Ensure office is compliant with regulations including first aid trained staff, evacuation procedures, health and safety, etc
  • Setup the office each day and ensuring the general cleanliness and tidiness
  • Manage and maintain electronic equipment for staff
  • Set up rooms appropriately for meetings, including ordering food, serving drinks, and following up on other requests
  • Assist with the planning of management meetings and senior management related events
  • Support organising business trips and asset tours
  • Process and monitor invoicing via the financial and asset database

Skills, Knowledge and Experience

  • Experienced in Office Management and Team Assistant activities
  • Motivation and keenness to develop in an administrative role
  • Advanced knowledge of Microsoft programmes
  • Excellent attention to detail, an ability to use initiative and solution orientated mindset
  • A pro-active can-do attitude and ability to operate to tight deadlines or react to urgent situations
  • Wilingness to adapt to a range of working styles according to varied needs
  • Excellent telephone manner with good communication skills
  • A friendly and outgoing disposition
  • A strong team player, able to both benefit from other individuals’ experience and, in turn, support the team
  • Basic knowledge of accounting and financial management is a plus
  • Fluency in German and English
  • A keen interest in Real Estate is a plus
