What you can expect
- You support the Executive Assistants in their day-to-day business and take on general administrative and secretarial tasks, including appointment scheduling, calendar management, and follow-up tracking.
- You provide administrative support for projects, take on special assignments, and assist with ordering and procurement processes.
- You independently handle correspondence based on provided guidelines and always treat sensitive information with the utmost confidentiality.
- You organize and book business travel and are responsible for preparing and reviewing travel expense reports.
- You plan, coordinate, and prioritize meetings and ensure the professional preparation and follow-up of all meeting activities.
- You act as an interface between executive management and specialist departments and serve as a point of contact for visitors and guests.
- You support the organization of offsites and team events and provide cover for the Executive Assistants to the CEO, CFO & CTOO during vacation or sick leave.
What makes you stand out
- You have successfully completed a commercial apprenticeship and ideally gained experience in an executive board or management office environment.
- You are proficient in using MS Office and modern communication tools and have a good command of written and spoken English.
- You have strong organizational skills, work in a structured manner, and demonstrate a high level of initiative.
- You present yourself with confidence and professionalism and are known for your discretion, trustworthiness, and responsible handling of sensitive information.
- You enjoy communicating and working with people and maintain a service-oriented approach when interacting with internal and external stakeholders.
- You are highly committed, flexible, and capable of managing tasks independently and reliably.
- You independently prepare and coordinate the Managing Director’s international travel activities and handle correspondence within an international business environment.
