Onsite Facilities Manager

Description

Location: Bay Area (Fremont, CA)

Role Overview

The Onsite Facilities Manager is responsible for sourcing, setting up, and maintaining physical locations used for onsite data collection. This role ensures all environments are fully operational, compliant, and optimized for successful execution while serving as a Subject Matter Expert (SME) in onsite data collection workflows and moderator operations.

Key Responsibilities

Facility Sourcing & Setup

Identify and secure locations that meet project-specific requirements, including space, layout, privacy, and compliance.

Coordinate with landlords and property owners regarding access, facility usage, and contractual needs.

Oversee onsite setup, including layout planning, equipment placement, and operational readiness.

Ensure all locations meet TELUS compliance, safety, and client-specific standards.

Onsite Operations Support

Support onsite setup and early production phases to ensure successful project launches.

Troubleshoot facility, equipment, and logistical issues in real time.

Maintain the readiness and functionality of onsite environments throughout the duration of each project.

Support both onsite data collection and rental-based programs as needed.

Responsible for the check in and check out process for onsite data collectors and moderators, ensuring proper handling.

Moderator Support & Training

Serve as a Subject Matter Expert (SME) on onsite data collection workflows and study requirements.

Support calibration phases to ensure consistency and quality prior to production.

Train and onboard moderators, ensuring alignment with project protocols and expectations.

Provide ongoing guidance and support to moderators throughout active data collection.

Quality & Process Alignment

Ensure onsite environments are configured to support accurate and consistent data collection.

Partner with Project Managers, Moderators and Quality Specialists to identify and resolve quality issues.

Reinforce adherence to operational standards, processes, and best practices.

Inventory & Asset Management

Equipment handling.

Ensure equipment is properly stored, maintained, and accounted for across multiple programs.

Maintain accurate inventory records and proactively identify and resolve inventory discrepancies.

Scheduling & Lab Coordination

Manage facility scheduling to maximize lab utilization and prevent scheduling conflicts.

Coordinate moderator schedules and ensure resources are available for all onsite collection activities.

Prepare the lab in advance of scheduled research sessions and customer visits.

Coordinate day-to-day lab activities to ensure seamless execution across multiple stakeholders.

Client Readiness

Prepare the lab for executive and customer visits, ensuring a professional and operationally ready environment.

Partner with cross-functional teams to deliver an exceptional experience for high-profile clients.

Ensure all equipment, workspaces, and facilities are presentation-ready prior to client engagements.

Cross-Functional Collaboration

Partner with Engineering, Operations, Facilities, Talent Acquisition, vendors, and global stakeholders to support daily lab operations.

Coordinate with Engineering teams to resolve hardware, device, and network issues.

Communicate effectively with cross-functional teams globally.

Serve as the primary point of contact for onsite operational coordination.

Technical Troubleshooting

Proactively identify facility, device, and technical issues before they impact operations.

Perform first-level troubleshooting on robotics equipment, consumer devices, and networking issues.

Escalate hardware, software, and network issues to the appropriate Engineering or Facilities teams.

Serve as the onsite point of contact during operational incidents until issues are resolved.

Onsite Lab Management

Serve as the primary onsite representative ('boots on the ground'), ensuring the robotics lab operates efficiently and all day-to-day activities run smoothly.

Maintain a safe, organized, and operationally efficient lab environment.

Ensure facility access, equipment availability, and operational readiness at all times.

Simulated Home Environment

Manage operations within both office and simulated residential environments used for robotics data collection.

Configure and maintain simulated home environments to support research activities and client demonstrations.

Requirements

Ability to lift and move equipment weighing up to 50 pounds.

Ability to assemble furniture and configure lab environments.

Ability to frequently move equipment throughout the facility.

Ability to stand and walk for extended periods.

Ability to perform hands-on setup and teardown of testing environments.

Experience managing facilities, laboratories, technical operations, or similar environments.

Experience managing inventory and high-value equipment.

Experience coordinating schedules, logistics, or operations.

Strong organizational and project coordination skills.

Excellent written and verbal communication skills.

Comfortable working in a fast-paced, evolving environment.

Reliable transportation with the ability to commute to the Fremont lab as business needs require.

Preferred Qualifications

OSHA or workplace safety knowledge.

Experience supporting robotics, AR/VR, consumer electronics, gaming, or hardware testing.

Experience using barcode scanning or asset management systems.

Experience supporting engineering or research teams.

Experience preparing facilities for executive or customer demonstrations.

Basic networking and Wi-Fi troubleshooting experience.

Familiarity with VR headsets, robotics equipment, or emerging technologies.
