Hauptaufgaben

Incumbent assists in the overall administration, personnel management, planning and coordination of support services. Provides support services such as mail, files, reports control, correspondence, tasking input and suspense monitoring, publications and forms control, record systems, records disposal, travel, personnel administration, training, and event planning.

Coordinates custodial service and maintenance / repair work for the staff office areas. Translates correspondence for the Directorate. Uses word processing software to prepare correspondence; reports which include a variety of technical terminology; formats / prints (through use of automation printing equipment) to final form in accordance with regulatory requirements. Prepares from draft such documents as work requests, Community Update and other types of documentation not formatted on automation input or database to include Microsoft Office and other office automation related software Access, Excel, PowerPoint, Project, Publisher, and Calendar software. Uses reference sources such as technical dictionaries, correspondence regulations and manual or automated spell and grammar checks to assure proper arrangements, grammatical and spelling accuracy of the final copy. Performs duty as the DES Law Enforcement Government Purchase Card (GPC) cardholder.

Serves as the principal office assistant, independently completing assignments IAW office regulations and internal guidelines. Receives visitors and telephone calls, referring callers to appropriate specialist or answering questions and providing material in response to requests. Independently prepares and provides associated material. Establishes and maintains correspondence controls including receipt and distribution of incoming and outgoing mail and correspondence, and suspense control. Based on a thorough working knowledge of USAG Rheinland-Pfalz DES responsibilities and ongoing actions, screens all incoming mail and message traffic, assigns suspense and distributes to appropriate action officer, section chief, or supervisor. On actions of an administrative nature, personally takes appropriate action including preparation of written replies. Maintains comprehensive suspense system. Reviews and ensures adequacy and of outgoing correspondence prepared for supervisor signature. Arranges Staff Call meetings, reserves rooms; notifies invitees of topics, dates and locations; gathers background material for supervisor, create, operate presentations and observes proceedings, taking notes and follows-up on tasking or commitments. Serves as point of contact for organizational events. Advises supervisory / management personnel of proper procedures for a given situation. Maintains current regulations on time keeping matters to include input of data and serves as timekeeper for LN employees.

In conjunction with the works council, establishes and controls tours of duty and annual leave schedules for Directorate Local Nationals. Keeps close contact with sick insurance, social security agencies, Defense Cost Office, and other German offices to provide or receive information for a myriad of purposes, information on various training and development opportunities and aids to supervisors and employees to cover their training needs. Prepares a variety of reports reflecting personnel actions, overtime, leave, financial and other transactions. Assists and advises the section chiefs, staff and operations personnel in the development, formulation, and direction of administrative and personnel policies and programs.

Provides support services to the Directorate. Reviews incoming correspondence, directives and regulations. Determines applicability and / or changes to policies and procedures. Reviews outgoing correspondence and reports for proper substance and consistency of action with established policy. Routes material to supervisor or section concerned or prepares replies. Composes correspondence and reports on administrative subjects. Implements and supplements procedures as applicable to the organization operation to Improve, simplify, and economize in operations. Coordinates and follows-up with all directorate elements on policy matters and items of special Interest to the Directorate. Evaluates established work methods and operating techniques. Provides administrative support for various directorate reports and taskings. Advises and assists operating supervisors on difficulties encountered or anticipated in administrative and personnel matters, and provides proper and economical recommendations for solution. Monitors the records and files management program; ensures compliance with directives for establishment, maintenance, and disposition of files and records. Ensures that all reports leaving the organization comply with directives and are submitted properly.

Performs other duties as assigned.

C-5a :

E&T Level I : 2 years of creditable experience as defined in A below PLUS 2 years of experience as defined in B below.

Current employees who do not meet E&T Level I and who are not in the same or similar occupation must have 2 additional years of creditable experience as described in A below.

E&T Level II : 1 years of creditable experience as defined in A below PLUS 2 years of experience as defined in B below.

E&T Level III : 1 year of experience as defined in B below.

E&T Level IV : No additional experience required.

Current employees who have served one year in the same or similar occupation are qualified for the next higher grade.

Experience A : Included clerical work in an office or store, working with computers, bookkeeping, making and recording inventories, telephone marketing, arranging for events or as a cashier, etc.

Experience B : Experience in the same or similar line of work as the job for which considered. The experience must demonstrate that the applicant possesses the particular knowledge, skills and abilities required in the position. The predominant experience must have been gained at a comparable level of difficulty to the position to be filled. The amount of the higher level experience must be in a reasonable relation to the required total number of years.

  • German driver's licenses class B desired
  • Office Automation skills required

LANGUAGE PROFICIENCY LEVEL :

English Language Proficiency Level AND German Language Proficiency Level C1 required.
