Job Summary
The Group Desk Coordinator, Sales Operations EMEA is an integral part of the Wyndham Sales Organisation team, managing diverse administrative duties and projects. They act as the central point of contact for all group / MICE-related leads across the Wyndham Sales Group & MICE EMEA team. The role is essential in ensuring the efficient and timely processing of enquiries by coordinating with hotels. Its primary focus is to support Wyndham Sales EMEA – Group & MICE teams by coordinating incoming leads, tracking them in relevant systems, and ensuring active follow-up with hotels and clients to help drive conversion and revenue. The Coordinator is expected to work closely with internal teams and hotel partners, ensuring clear communication and smooth execution throughout the enquiry process. They are required to understand the Group and MICE segment, ideally having previous experience in hotel group sales and meeting coordination roles. Familiarity with group business dynamics, strong organisational skills, and a follow-through mindset are essential to succeed in this position. In addition to core responsibilities, they may assist with regular and ad hoc tasks, as directed by the line manager and based on business needs.
Responsibilities
Group & MICE Sales “Lead Catcher”
- Act as the 'lead catcher' for the Wyndham Sales EMEA – Group & MICE teams, providing centralised coordination and support throughout the lead management process.
- Coordinate incoming requests, communicate with internal teams, hotels, and customers, and ensure all sales leads are submitted accurately and on time via the appropriate systems.
- Maintain oversight of the shared inbox and manage the Group & MICE leads queue efficiently, ensuring all enquiries are acknowledged, tracked, and actioned appropriately.
- When the Wyndham Sales EMEA – Group & MICE teams are out of office for business travel or other reasons, provide back-up support by handling Group & MICE enquiries. This also applies to the Regional Sales teams when requested.
- Work closely with the EMEA Wyndham Sales Group & MICE team, Global Account Services (GAS), and other internal stakeholders to gather the necessary information and resources for processing leads.
- Liaise with hotel teams to ensure accurate and timely responses to enquiries.
- Support Wyndham Sales EMEA – Group & MICE teams with quarterly / monthly data collection and tracking (CARS) of purposed leads.
System & Data Update
Utilise internal and external tools such as Salesforce, Wyndham Community, Cvent MICE, and others to manage lead data and support hotels and clients throughout the process.Ensure accuracy and completeness of information entered in systems, and support process improvements and system clean-up activities.Support Wyndham Sales EMEA – Group & MICE teams with data entry and maintenance in Salesforce and other relevant platforms.Communication
Serve as a key point of contact between Wyndham Sales, GAS, and hotel teams for all Group & MICE-related enquiries.Clarify lead requirements, identify suitable hotel options, collect hotel responses, and coordinate timely submissions to clients.Keep stakeholders informed on status, updates, and any issues requiring escalation.Deadline Management & Follow-Up
Monitor all lead-related deadlines and ensure timely responses of the hotels by proactively following up with hotels and the GAS teams, account owners and clients.Track each lead from submission to closure, ensuring visibility and accountability across all stages.Group & MICE Sales “Segment Support”
Provide segment-level administrative support to the Global Sales EMEA – Group & MICE Team Leader and wider seller team, including :

Sales Operations Support
Work closely with the Sales Operations Manager EMEA to support sales operations functions.Collaborate on the project management side of sales operations, ensuring effective execution of processes related to Group & MICE segment.Work closely with leadership to identify opportunities for growth and improvement.Personal Development : Take responsibility for personal and professional development in preparation for “next level” responsibilities.
Complexity
This role involves a moderate level of decision-making, primarily related to the coordination and tracking of Group & MICE leads. Most tasks are recurring or will be clearly defined by Wyndham Sales EMEA– Group & MICE teams. Day-to-day autonomy is limited, with key decisions aligned with established processes and in coordination with account owners and internal teams. The Coordinator does not have any direct supervisory responsibilities. They are expected to become confident in using key sales tools and systems (e.g., Salesforce and Cvent), supporting hotels and internal stakeholders by answering process-related questions and troubleshooting common issues. While the role is mainly operational, it requires a proactive, detail-oriented mindset and the ability to work independently within defined guidelines. Administrative support for the wider team may be required on an ad-hoc basis.
Scope / Financial Responsibility
This role does not manage a dedicated budget but is expected to manage personal travel and expenses responsibly in line with the company policy. The Coordinator will hold a key support function, maintaining professional relationships with internal teams, clients, and hotel partners, and acting as a brand ambassador for Wyndham Hotels & Resorts in the EMEA region.

University diploma or equivalent required; further education in hospitality or business is a plus.Prior experience in the hospitality industry or a fast-paced environment is essential.Working knowledge of Group & MICE lead handling at the hotel or sales support level.Experience using tools, such as Salesforce, Cvent MICE, Opera, Delphi, SynXis, and HRS, is highly valued.Background in hotel-level administration, sales support, or coordination is preferred.Experience working with cross-functional and global teams is a strong asset.Minimum of two years’ experience using Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) is required.Experience with database management and reporting is a plus.Familiarity with account coordination or basic account management is helpful.Project coordination skills and a strong interest in technology and process tools are advantageous.Fluency in English is mandatory; German proficiency is preferred to support local engagement.Willingness and ability to travel within EMEA and internationally as needed.Organisational Relationships
