Transaction Management and Restructuring - Administrative Assistant
Job Description :
The Role : The assistant will work as part of the Non-Financial Risks and Controls Unit in the Coordination Division of the Portfolio Management and Monitoring Directorate (PMM). The Unit is responsible for the maintenance of an insider list managed by the Compliance Liaison Officer (CLO). The main role of the market abuse assistant will be to provide day-to-day administrative support to the CLO to keep the PMM insider lists accurate and up to date. Engagement with front office staff is also expected as and when needed.
Accountabilities :
- Provide daily support on the maintenance of the PMM insider lists under the supervision of the Compliance Liaison Officer in the PMM coordination unit.
- Coordinate information gathering initiatives further to ad hoc internal requests (e.g., further to the internal testing programme).
- Support various data input / remediation exercises ensuring data quality in the insider lists.
- Assist with general administrative tasks, including :
Filing and classifying documentation related to the unit’s activities in GED / Sharepoint common mailboxes, etc.
Organizing meetings with relevant colleagues to monitor the status of the insider list.Monitoring incoming requests and prioritizing / dispatching such requests.Regular review of GED IW to ensure accesses are managed according to the Bank’s information management policy.Drafting and maintaining operating procedures documenting best practices based on practical experience and other guidance within the CLO space.Candidate Profile : Qualifications :
Secondary level education, completed with a 2-year certification in a relevant field or secondary level education with equally qualified experience in a relevant field.Minimum 3 years of relevant professional experience.Rigorous and detail-oriented mindset.Strong multitasking and organizational skills.Previous experience with electronic filing and coordination work.Excellent knowledge of MS Office software, particularly Excel.Excellent knowledge of written and spoken English and / or French.Competencies :
