Stellenbeschreibung

This is a fixed-term position for 1.5 years to cover maternity leave.

Primary Function of Position :

This role provides administrative and logistical support for the organization of DACH marketing and sales events in coordination with local marketing and events team. Additionally, this position will aid in the creation of events collaterals and organize referral management activities, reporting to the Director Marketing - DACH.

Roles and Responsibilities :

Events

  • Coordinate truck events for the DACH region.
  • Manage all task related compliance activities.
  • Organize metropolitan region activities driven by sales (location, accommodation, system, speakers).
  • Plan and execute Freiburg facility meetings and events.
  • Provide support to Marketing Event Coordinator with the organization of tradeshows.

Marketing Communication

  • Coordinate translation verification with sales team.
  • Route new collaterals in Agile and ensure quick turnaround times related to Sales Events.
  • Support creation of new brochures, flyers, and information material.
  • Mobile Truck System

  • Update truck and event calendar for DACH.
  • Manage and coordinate the floating equipment pool for the DACH region.
  • Further develop and optimize floating simulators booking coordination for DACH markets.
  • Coordinate demo products.
  • Administrative Tasks

  • Monitor budget and financial follow up for these events and align with Marketing Event Coordinator.
  • Create contracts, new vendors, process Purchase Orders (POs) and invoices, for these events and get managers approval and signatures.
  • Prepare and send speaker fees agreement and organize their travel & accommodation when applying.
  • Support monitoring and long-term planning of events.
  • Coordinate educational sponsorships for Medical Affairs Director.
  • Qualifikationen

    Required Knowledge, Skills, and Experience :

  • Apprenticeship or bachelor’s degree or equivalent experience in event management, marketing, preferably acquired in an international, fast paced and changing environment.
  • 1 year work experience in events management and / or marketing.
  • Languages (spoken and written) : German native speaker, fluency in English required.
  • Good interpersonal, verbal, and written skills coupled with ability to interact with a variety of departments and customers (marketing, sales, market access, and healthcare professionals).
  • Strong organizational skills and ability to work in a team-environment providing cross- functional support.
  • A keen ability to coordinate projects, organizing, prioritizing, and coping with various tasks.
  • Flexible and reliable, and strong attention to details.
  • Good knowledge of the MS Office product suite.
  • Travel up to 10% -15% required, mostly in the DACH region (including weekends).
  • This position is based in Freiburg (Germany).
