Your role

Working closely with the Executive Assistants of the Symrise Board of Directors, the Administrative Assistant (m / f / d) will be responsible for day-to-day office and travel management.

Main responsibilities

  • Work closely with the Executive Assistants of the Symrise Board of Directors to provide comprehensive administrative support in the day-to-day operations.
  • Responsible for organizing and managing all travel bookings for the Board Member, ensuring smooth and efficient travel arrangements.
  • Schedule, coordinate and manage appointments as needed
  • Maintain confidentiality and handle sensitive information with discretion.
  • Manage bookkeeping tasks, including tracking expenses and organizing invoices.
  • Assist with document preparation, filing and data management.
  • Assist with the preparation of reports and presentations.
  • Assist with administrative tasks related to projects, correspondence, and follow-up on outstanding issues.

About you

  • University degree or vocational training in business administration, accounting, or a related field.
  • Previous experience as an administrative or personal assistant in a multicultural environment
  • Previous office administration experience supporting senior executives or C-level management is a plus
  • Proficiency with Microsoft Office Suite tools, particularly Word, Excel, and PowerPoint, as well as calendar management in Outlook
  • Demonstrated ability to work independently, be resourceful, and manage multiple tasks in a fast-paced environment
  • Proactive attitude and strong problem-solving skills
  • Excellent communication skills and attention to detail; accustomed to handling sensitive information with the utmost discretion
  • Native or C1 / C2 German speaker with strong written and verbal skills in English, the primary working language of the company
