Our client, a European Institution, is looking for an Administrative assistant.
Accountabilities :
- Provide daily support on the maintenance of the department insider lists under the supervision of the Compliance Liaison Officer in the department's coordination unit.
- Coordinate information-gathering initiatives further to ad hoc internal requests, e.g. further to the internal testing programme.
- Support various data input / remediation exercises ensuring data quality in the insider lists.
- Assist with general administrative tasks, including the following :
- Filing and classifying documentation related to the unit's activities in GED / Sharepoint common mailboxes etc.
- Organising meetings with relevant colleagues to monitor the status of the insider list.
- Monitor incoming requests and prioritise / dispatch such requests.
- Regular review of GED IW to ensure accesses are managed according to the company's information management policy.
- Draft and maintain operating procedures documenting best practices based on practical experience and other guidance within the department's space.
- Qualifications :
- Secondary level education, completed with a 2-year certification in a relevant field or secondary level education with equally qualified experience in a relevant field.
- Minimum 3 years of relevant professional experience in the administrative field.
- Rigorous and detail-oriented mindset.
- Strong multitasking and organisational skills
- Previous experience with electronic filing and coordination work;
- Excellent knowledge of MS Office software, in particular Excel
- Excellent knowledge of written and spoken English and / or French.
