Your role
- Under the supervision of the line manager, in collaboration with the Helpdesk office, plan and organize the entire Logistics activity on campus, Service Now tickets follow-up
- Coordinate the team and ensure personalized development follow-up (training, one-onone interviews, team meetings), team schedules setting up
- Plan and participate on call duty period (phone, doubt removal), identification and risk management
- Support the team and participate in the execution of operations related to the department's activities (operation, maintenance)
- Guarantee the quality of the various operations or projects carried out, in compliance with procedures and deadlines, set-up KPI
- Build solid relationships with the University's cross-functional and user teams, manage critical escalations in the logistics business to reduce user impact
- Data collection and analysis via the various tools implemented by the University (Service Now, Acme, etc.)
- Ensure regular reporting, activity reports drafting
- Manage service providers / suppliers, check the proper performance of the services until receipt, billing monitoring
- Identify the functional needs required for a bill of specification preparation, participate to tenders
- Solicit companies for tenders, realize a comparative and detailed analysis of tenders
- Analyze and identify the various problems encountered, propose sustainable solutions
- Participate in the development and improvement of procedures
- Insure the follow-up of furniture and consumable
- Miscellaneous administrative tasks
- Assist in the evacuation of the site (emergency case)
Your profile
- Bachelor or équivalent experience, logistics and / or management skills
- 1-3 years of working experience
- Good oral and written expression in French and English (B2 minimum level), knowledge in German and in Luxembourgish are an advantage
- Good knowledge of audiovisual material
- Attentive and rigorous regarding the instructions given concerning the work and the rules of health and safe
- Knowledge in Security and technical infrastructure are an advantage
- Mastery of MS Office (Outlook, Word, Excel)
- Ability to work proactively, independently and discreetly
- Team spirit, dynamism and sense of initiative
- Flexibility in schedules
- Category B driving license
