The Position

We are seeking a Global Commercial Quality Administrative Coordinator Professional to join our team. In this role, you will take on a variety of complex and confidential administrative tasks, ensuring the smooth operation of our global organizational unit.

As the assistant of the Head of Global Commercial Quality, you will have the opportunity to work in a global setting, networking with stake holders both within and outside our department and across various sites worldwide. This role demands agility, the ability to prioritize multiple activities, and an independent style of working within a diverse team. The role will be based in Germany, Ingelheim.

Tasks & responsibilities

  • As a pivotal part of our team, you will be entrusted with the organization of meetings, both within our team and on a global scale. This includes all the necessary arrangements such as securing the location, ensuring hotel accommodations, and managing flight bookings among other tasks.
  • As an assistant to the Head of Global Commercial Quality, you will support day-to-day administrative tasks in a global and intercultural matrix organization. This includes maintaining the mailbox, helping to optimize the Outlook calendar, organizing meetings, and coordinating travel arrangements such as national and international business trips. Additionally, you will handle the travel accounting, ensuring a seamless experience for all involved.
  • Keeping the team informed is another crucial aspect of your role. You will be the conduit for all important announcements, changes, or news, ensuring everyone is always in the loop.
  • Moreover, you will handle the procurement of all necessary items for the team, including but not limited to purchase orders.
  • You will be the first point of contact for all aspects of building up our digital presence. In addition, you will create and coordinate our global communications, posts and you are deeply involved in the coordination of our Global Commercial Quality Townhalls.
  • You will also be part of the organization and participation in on-site events and global conferences with up to 250 participants and even more.
  • And not to forget, but also not limited to- you also will be in the lead of the management of documentation storage and working lists.

Requirements

  • Completed education in Office Management and further training as a Management Assistant or equivalent further education (e.g., Specialist) with several years of professional experience; additional qualification as European Management Assistant desired
  • Strong skills in PowerPoint to create impactful presentations; good with digitalization and artificial intelligence
  • Distinct organizational skills paired with an independent and solution-oriented way of working
  • Ability to work agile, proactively and reliably.
  • Knowledge and experience in Project Management
  • Professional communication skills
  • Fluent communication skills in English, both written and verbal for the effective collaboration in an international environment
