About the Role :
Exergy3 is a pioneering company specialising in ultra-high temperature thermal energy storage technology, with a mission to drive the decarbonisation of heat across Europe and beyond. As a spin-out from the University of Edinburgh, we are at the forefront of clean heat innovation, providing scalable, efficient, and cost-effective decarbonisation solutions for industrial processes and large-scale building heating.
We are looking for a highly capable, bilingual Executive Assistant to support our CEO and help anchor our growing presence in Germany. This is a hands-on role, requiring seamless leadership coordination and communication, enabling the CEO to focus on driving the company’s vision and growth by protecting and amplifying their time, and increasing their leverage across projects
You’ll be a trusted partner to the CEO , a go-to person for keeping things running smoothly on the ground in Munich, and someone who enjoys switching between strategic support and practical execution.
Key Responsibilities :
Executive Assistant Support
- Support CEO with day-to-day priorities to keep them focused on high-impact work
- Proactively manage complex calendars, scheduling across time zones (UK / EU / Global)
- Book travel, accommodation, process expenses as required
- Act as a gatekeeper and point of contact for internal and external stakeholders
- Prepare meeting agendas, presentations, briefs, and follow-up actions
- Handle sensitive and confidential information with discretion
Business Support
Assist with research, analysis, and preparation for strategic initiativesHelp track priorities and projects across the leadership teamSupport ad-hoc projects related to operations, growth, or partnershipsAct as a “problem solver” — spotting issues early and helping drive solutionsOffice Management (Munich)
Co-ordinate office set-up in MunichManage supplies, vendors, and facilities in Munich officeSupport onboarding for new team members in GermanyAct as the local liaison for HR, finance, and external partners as neededRequirements
What We’re Looking For :
Fluency in English and German; excellent written and verbal communication skills, with a high level of professionalismProven experience as an Executive Assistant or similar role in a fast-paced environmentProficiency in Microsoft 365 (Word, Outlook, Excel, PowerPoint, MS Teams)Exceptional attention to detailAbility to handle confidential information with discretion and integrity.Experience coordinating across multiple departmentsComfortable working with senior leadersProactive, adaptable, and calm under pressureAble to balance structure with the ambiguity of a start-up environmentBenefits
