We are seeking for a
Team Assistant (gn) Resident Faculty (International Relations).

The position is advertised as a part-time or full-time position (30 resp. 40 hours/week) and is unlimited.

Are you highly organized, internationally minded, and curious about supporting academic work behind the scenes? As Team Assistant, you will play a key role in supporting our international faculty in all administrative and organizational matters. You’ll be the go-to person for coordination, communication, and smooth operations across our global academic network.

Your Responsibilities

• Support the faculty and research centers in all administrative tasks (also e.g. including support for hiring processes, onboarding, target talks, rankings, research documentation & presentation)
• Support KLU’s strategic goals (internalization, societal impact, accreditations)
• Preparatory accounting (travel and expense reports, incl. account assignment in ELO)
• Coordination and organization of meetings, seminars, events, and professorial hirings (incl. invitations, catering, hotel booking)
• Communicative and administrative interface between main and satellite campuses (Vietnam, other locations), help to develop common working routines
• Extensive appointment planning (Outlook, Zoom)
• Keeping minutes (English)
• Communication with national and international business partners
• Process optimization in the aforementioned areas of responsibility

Your qualifications

• Completed training as an office management assistant, foreign language secretary or other commercial training resp. comparable qualifications or knowledge
• Professional experience in a comparable position and/or other services
• Excellent written and spoken German and English skills
• Proficient in MS Office applications
• Organizational skills and independent working style
• A team player with a service-oriented mindset and open attitude
• Reliable, flexible, and keen to improve processes
