Title : Chief Executive / Deputy Chief Executive - Operations Management Officer
Overview
This interim role is based within a European institution and supports the Resource Planning & Performance Monitoring Division. The division plays a pivotal role in ensuring the smooth and efficient execution of investment activities. The selected candidate will provide essential operational, analytical, and coordination support to maintain data quality, manage workload peaks, and contribute to ongoing automation and process‑improvement initiatives.
Key Responsibilities
1. Operations Management
- Perform accurate and timely data inputs and updates from deal creation to signature, ensuring compliance with investment mandates and operational workflows.
- Manage backlog and pending operational requests, focusing on data quality, consistency, and traceability.
- Conduct data cleaning and validation to support reliable reporting and effective decision‑making.
- Maintain updated documentation of operational processes to ensure consistency and knowledge retention.
2. Process Improvement & Automation Support
Contribute to the digitalisation and automation of application processes for guarantees, equity, and mandates, including mapping current manual workflows, designing digital solutions, and supporting user‑acceptance testing and rollout.Assist in the development of IT tools and dashboards by consolidating stakeholder requirements and enhancing internal reporting capabilities.Collaborate with the Business Support division to improve data‑management processes and support automation initiatives.Gather and consolidate business requirements for pipeline tracking and reporting.3. Coordination & Cross‑Functional Activities
Liaise with teams across the Investment Office to align operational workflows, processes, and timelines.Work collaboratively with other departments (Risk, Legal, Compliance, Finance) to facilitate operational processing and audit‑related exchanges.Assist in preparing briefing materials, presentations, and operational updates for senior management.Qualifications & Experience
Minimum three (3) years of relevant experience in operations management or transaction‑processing roles.University degree (preferably postgraduate) in Finance, Economics, IT, or a related field.Advanced proficiency in Microsoft Office tools : Excel, PowerPoint, Word, SharePoint, and Power BI.Fluency in English (written & spoken); knowledge of additional European languages is an asset.Experience in banking, asset management, private equity, venture capital, portfolio guarantees, or mandates is an advantage.Knowledge of Alteryx or eFront is a plus.Familiarity with Tableau, Business Objects, or similar data‑visualisation / reporting tools is beneficial.Competencies
