Tasks
YOUR TASKS :
Your main responsibility will be as our Office Manager :
Ensure the flow of information between team and management
- Be the contact person for external providers (insurances, suppliers, authorities etc.)
- Be the contact person for our HR, Accounting, Legal and IT Departments in Spain
- Provide basic accounting support (e.g. collect invoices and review team expenses)
- Provide basic HR support (e.g. coordinate interviews, manage our office’s listings on recruitment portals, prepare and coordinate onboarding and offboarding processes, support with visa letters)
- Manage our general office logistics
- Open, sort and distribute incoming emails, correspondence and deliveries
- Maintain the office’s electronic and analogue filing system
- Keep an inventory of office hardware and mobile phone contracts
- Office purchasing (general office supplies, snacks and drinks, etc.)
- Organize team trips, celebrations and other team events
- Support with office visits
Additionally, you will provide general assistance to the Managing Director with some of his daily tasks :
Organize and manage his calendar
Plan and prepare meetingsTravel managementPrepare his monthly expense reportsProvide support with the HR employee reviewsPrepare weekly activity reports for ManagementDo research and prepare presentations and briefingsRequirements
