Tasks

YOUR TASKS :

Your main responsibility will be as our Office Manager :

Ensure the flow of information between team and management

  • Be the contact person for external providers (insurances, suppliers, authorities etc.)
  • Be the contact person for our HR, Accounting, Legal and IT Departments in Spain
  • Provide basic accounting support (e.g. collect invoices and review team expenses)
  • Provide basic HR support (e.g. coordinate interviews, manage our office’s listings on recruitment portals, prepare and coordinate onboarding and offboarding processes, support with visa letters)
  • Manage our general office logistics
  • Open, sort and distribute incoming emails, correspondence and deliveries
  • Maintain the office’s electronic and analogue filing system
  • Keep an inventory of office hardware and mobile phone contracts
  • Office purchasing (general office supplies, snacks and drinks, etc.)
  • Organize team trips, celebrations and other team events
  • Support with office visits

Additionally, you will provide general assistance to the Managing Director with some of his daily tasks :

Organize and manage his calendar

  • Plan and prepare meetings
  • Travel management
  • Prepare his monthly expense reports
  • Provide support with the HR employee reviews
  • Prepare weekly activity reports for Management
  • Do research and prepare presentations and briefings
  • Requirements

    WHO WE ARE LOOKING FOR :

    Organizational talent with analytical capabilities and quick learning ability

  • Highly motivated work style, strong people skills and positive mindset
  • Structured, and independent approach to work with the ability to prioritize tasks
  • Detail-oriented and trustworthy
  • Excellent communication skills in German and English - Spanish would be a great addition
  • Fluent in MS Office - experience with MacOS would be a plus
  • Ideally, you will have a business or administrative sciences background
  • We are looking for someone who can join as soon as possible and who is willing to make a long-term commitment
