General Office Management : , Maintain office organization and manage supplies inventory., Oversee office maintenance, coordinate repairs, and organize transfers as necessary., Organize and file documents, both physically and digitally., Assist in the search, setup, and transfer to new office spaces if required., Communication and Correspondence : , Handle all incoming and outgoing emails, calls, and correspondence., Maintain official company records with district court., Manage company insurances and handle payment of invoices related to chambers of commerce, transparency registry, etc., Schedule and coordinate meetings, conference calls, and appointments., Serve as the point of contact for internal and external stakeholders., Calendar and Schedule Management : , Coordinate travel arrangements and itineraries for business trips and events : , for employees and subcontractors;, for executives., Customer and Client Support : , Welcome and assist visitors and clients upon arrival., Respond to inquiries and provide information about the organization., Financial and Accounting Support : , Process invoices, purchase orders, and expense reports., Track and manage office-related expenses and budgets., Administer salary payments to employees and subcontractors., Support all bookkeeping tasks and communicate with tax offices and advisors., Create and ensure payments for the customer invoices, Event Planning and Coordination : , Organize and coordinate company events, meetings, and workshops., Arrange venues, catering, and necessary equipment., Handle invitations and manage registration for events., Human Resources Support : , Assist in onboarding new employees, including purchasing and shipping hardware within and from the EU., Coordinate special greetings and presents for employees within and from the EU zone., Ad Hoc Administrative Tasks : , Adapt to shifting priorities and perform additional tasks as needed., Identify opportunities to enhance office efficiency proactively.] Requirements : Office management, Accounting, AD, MS Office, Communication skills, Good work organization Additionally : Free coffee, Free beverages, Free snacks.
