General Administrative Assistant (m / f / d)
Position Overview :
The Administrative Assistant provides support to the Essen Ops Site lead and leadership team. This person must be creative and enjoy working within a large, culturally-driven, global, results and community-oriented environment. The ideal individual will be capable of exercising good judgment in various situations, with strong written and verbal communication, administrative, and organisational skills, and the ability to balance / handle competing priorities.
The ideal candidate must be able to work from our office in Essen.
Primary Responsibilities :
- The Administrative Assistant will be proficient in working independently on projects, from conception to completion.
- He / she must be able to work under pressure and handle a wide variety of activities and confidential matters with discretion including but not limited to the following : travel management - request for approval, support team with travel arrangements
- Expense and invoice management - filing monthly expense / Invoice reports – following local requirements global standards
- Assists with cross-functional internal and external meeting scheduling
- Perform general office duties and administrative tasks as needed
- Host for executive visits both TELUS Digital and client visits
- Support the site leadership and co-ordinate initiatives that will improve departemt engagement.
Skills & Qualifications :
3+ years of administrative supportStrong proficiency in English and German (C1 level) and good communication skillsProficiency in Windows, Google Workspace, Workday, Concur SAPAdvanced expertise in local and global travel arrangements and managementStrong analytical, presentation, and interpersonal skillsStrong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partnersAbility to learn new software as neededAbility to conduct research and present data in a concise and well-written mannerAbility to work independently and with professional discretionExcellent time management, and problem-solving skillsIndependent self starter, take initiative to manage programs and think outside the box for solutions.
