Job Description
The Office Manager will report directly to the Business Unit Director. This is a newly created role due to our continued growth in Europe, and will be supported by the wider HR, Accounts, Travel Booking and Site Operations departments.
What you would do :
- Assist the Business Unit Director with day-to-day office administration tasks.
- Answer all calls to the GmbH HQ office
- Monitor, distribute, record and action were required all incoming mail.
- Liaise with accounts department to ensure all incoming invoices are paid in line with the payment terms agreed for GmbH properties and vehicle.
- Onboard and off-board staff members as required in conjunction with the hiring manager and business unit lead.
- Assist in country registration queries for new employees.
- Maintain GmbH staff tracker listing Tax ID’s, Insurance providers
- Assist in securing new accommodation for staff members
- Maintain company vehicle tracker noting any changes in driver and liaising with vehicle leasing companies.
- Assist with arranging utility contracts with internet and phone services
- Support site team with ordering of stationery and printing equipment.
- Provide translation assistance for all German correspondence.
- Research and update German compliance for company registration information
- Assist with developing a marketing campaign with Business Unit Lead and Business Development team.
- Assist with arranging quarterly social events for GmbH staff
- Record deliveries to German Store and maintain inventory.
Qualifications
Fluent English and German - both verbal and written.Previous experience of managing a busy, fast paced office.Proficient in using a range of Microsoft packages including Excel.Knowledge of German employment law.Additional Information
