Office & Facility Manager
Mission
To oversee all building-related activities. Responsible for preserving the good condition of infrastructure and ensure that facilities are safe and well functioning. The goal is to ensure our business’s accommodation is problem-free and safe so that employees can work under the best conditions.
Main Accountabilities
- Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
- Plan and coordinate all installations (telecommunications, heat, electricity etc.) and refurbishments
- Oversee and agree contracts and providers for services including security, parking, cleaning, catering, technology etc.
- Manage the upkeep of equipment and supplies to meet health and safety standards
- Ensures that facilities meet government regulations and environmental, health and security standards
- Inspect buildings’ structures to determine the need for repairs or renovations
- Review utilities consumption and strive to minimize costs
- Supervise all staff facilities staff (custodians, technicians, groundskeepers etc.) and external contractors
- Control activities like parking space allocation, waste disposal, building security etc.
- Allocate office space according to needs
- Handle insurance plans and service contracts
- Keep financial and non-financial records
- Perform analysis and forecasting
- Optimize the use of space and equipment while reducing operating costs
- Provide general support to visitors

Proven experience as facilities manager or office management, administrative or assistant experienceKnowledge of office management responsibilities, systems and proceduresKnowledge of basic accounting and finance principlesExcellent time management skills and ability to multi-task and prioritise workExcellent verbal and written communication skillsAttention to detail and problem solving skillsGood analytical / critical thinkingBSc / BA in facility management, engineering, business administration or relevant fieldRelevant professional qualification will be an advantageReporting line and organisational level
