THE ROLE
We are seeking an experienced and dynamic Business Operations Manager to join our growing team. In this pivotal role, you be responsible for managing and optimizing our business operations to ensure smooth and efficient functioning across all corporate functions.
You will play a crucial role in financial management, legal support, process design, and organizational health. Additionally, you will be the primary liaison with our investor and lead the selection of vendors for various tools essential to our business operations.
The ideal candidate is a proactive problem solver with a deep understanding of operational best practices, a passion for driving continuous improvement in a fast paced environment, and someone who shares our excitement for generative AI and technology.
You will work directly with our CEO and other two founders. WHAT YOU WILL BE DOING
Financial Management :
Oversee cash flow management and manage creditor and debtor relationships
Prepare financial reports and forecasts
Legal Support :
Coordinate and support the legal department in drafting and reviewing contracts
Support the company in maintaining GDPR compliance, safeguarding data privacy and security
Process Design and Implementation :
Design and implement efficient processes and procedures to enhance operational efficiency
Lead the development and maintenance of the company's OKR process
Relationship Management :
Serve as the main point of contact for our corporate functions in our parent company, ensuring strong communication and alignment on several initiatives
Manage ongoing relationships with key stakeholders within the parent organization
Vendor Management :
Lead the selection process for key tools and vendors, such as payment providers, CRM systems, sales tools, and more
Evaluate vendor proposals, negotiate contracts, and ensure the selected tools align with the company’s operational needs
Special projects :
Occasionally lead or support special projects guided by the CEO office relating to a wide range of topics such as strategy, investor relation management, go-to-market, innovation initiatives, and market intelligence / research
WHAT WE’D LOVE TO SEE
Very good spoken and written communication skills in German and English.
2-5 years of experience in the field of business operations in a dynamic environment, either within a high growth environment in the tech or AI industry, consulting, accounting, or similar.
Bachelor degree in business, finance, accounting or a similar relevant field.
Strong financial acumen, with experience in invoicing, and financial reporting.
Demonstrated ability to design and implement effective operational processes and procedures.
Excellent relationship management skills, with experience liaising between multiple stakeholders.
Strong problem-solving skills, with a proactive approach to identifying and addressing operational challenges and high attention to detail.
Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments.
A high degree of organizational and time-management skills, with the ability to manage multiple priorities simultaneously in an ambiguous environment.
A proactive can-do attitude and willingness to take on responsibility.
