We are currently looking for a Medical secretary (m/f) for our department “National Center of Genetics” for a temporary position of 1 year and on a part-time basis (20h/week).

ABOUT THE LABORATOIRE NATIONAL DE SANTÉ

The LNS is a major player in Luxembourg’s healthcare sector, serving the country’s patients, doctors and hospitals. Under the supervision of the Ministry of Health and Social Security, the LNS is a multidisciplinary public institution organized around six medical departments, two of which are designated as national diagnostic centers for human genetics and pathology respectively.

The LNS employs around 400 highly qualified staff with diverse backgrounds. The main purpose of the LNS is to develop analytical activities and scientific expertise relating to the prevention, diagnosis and monitoring of human diseases; to act as a national control or reference laboratory; and to carry out forensic missions. The LNS also collaborates with the University of Luxembourg and other biomedical research institutions, both nationally and internationally, on research and teaching activities.

In particular, in the field of diagnostics, the LNS covers the following fields of application: medical biology, microbiology, forensic medicine, environmental medicine, morphological and molecular pathology, and clinical genetics, as well as sequencing for rare diseases, oncology and pathogens.

ABOUT THE NATIONAL CENTER OF GENETICS (NCG)

The National Center of Genetics (NCG), at the LNS, is responsible for human genetic care in Luxembourg. One of the goals of the NCG is to build up genomic medicine and precision oncology, using a state of the art sequencing facility, and to provide high-level health care to the Luxembourgish population. The NCG is a major stakeholder of two national public health programs: the Plan National Maladie Rare and the Plan National Cancer.

The Clinical Genetics Service at the NCG is recruiting a Medical Secretary on a part-time bases, who will reports directly to the Head of the Service, to assist with the unit’s general administrative and clerical tasks.

RESPONSABILITIES:

• Collaborate closely with members of the Clinical Genetics Service and other departments as needed;
• Greet patients, manage check-in and check-out procedures, and ensure the reception and consultation areas remain tidy and welcoming;
• Schedule patient appointments, follow up, and send reminders;
• Prepare, organize, and maintain patient documentation, medical histories, and archives;
• Handle incoming and outgoing correspondence (phone calls, emails, mail, faxes, etc.);
• Liaise with partner laboratories to collect and manage patient result reports;
• Maintain and update databases; prepare memos and organize staff meetings;
• Use and manage Clinical Genetics and LIMS software systems;
• Monitor and manage administrative stock (e.g., envelopes, stationery);
• Perform standard secretarial tasks such as photocopying, mailing, and report dispatching.

The above list is not exhaustive and further tasks could be added according to the needs of the service.

PROFILE:

• Secondary school diploma (BAC), secretarial school diploma or equivalent recognized qualification;
• At least 3 year’s proven experience in administrative work;
• Experience in a medical laboratory or as a medical secretary is a strong asset;
• Excellent proficiency in MS Office Suite (Word, Excel, Outlook, etc.);
• Strong organizational, communication, and interpersonal skills;
• High attention to detail and discretion with confidential information;
• Ability to multitask and work effectively in a clinical and multidisciplinary environment;
• Self-motivated, flexible, and team player;
• Fluency in English and proficiency in either French or German are mandatory. Knowledge of Luxembourgish is considered an asset.
