Apply now! JOB OPENING Title : Relocation Readiness / Lending Closet Administrator Location : Wiesbaden, Germany Start date : 1 June 2025 Job-Type : Full Time (40 hours / week) Summary : Administrator needed to provide Relocation Program Services to US servicemembers, civilians, and their families.
Duties include the Lending Closet, Sponsorship Program for units and spouses, Spouse Orientation, Welcome Packets, Foreign Born Spouse and Hearts Apart Programs QUALIFICATIONS At least one (1) one year of customer service experience in a front desk / reception office environment.
Minimum of one (1) year experience in conducting briefings,trainings, preparing formal and informal correspondence, memorandum, reports, and data collection, and creating lesson plans.
Ability to read, write, and speak English to clearly communicate with and inform colleagues, supervisors and clients.
Experience in the use of application of common software programs and those in use at ACS, specifically Microsoft Word, PowerPoint, Publisher, Outlook, SharePoint and Excel.
Familiarity with ACS services preferred JOB DESCRIPTION INCLUDES, BUT IS NOT LIMITED TO Lending Closet Managerment and Execution : Issue and receive items in the Lending Closet.
Ensure correct client information is obtained and to complete the Lending Closet transaction form Produce and submit a weekly report on all clients with overdue items to the Relocation Readiness Program Manager.
Notify customers with overdue items via email and a follow up phone call.
maintain and file a hard copy of the Lending Closet contracts, and shall enter transactions and contacts to the Army Family Web Portal (AFWP) on a daily basis.
Maintain all Lending Closet items in safe and sanitary working order and ensure cleanliness of loaner items upon each return and restock the loaner kit before placing it back to the inventory.
Inventory : Responsible for restocking and maintaining accurate inventory.
Conduct quarterly inventory of supply items and provide a status report.
complete Memoranda for Record (MFR) for disposal of all items that have reached the end of their lifecycle, removing items from inventory, adding items to inventory and for any situations where further documentation is necessary when dealing with clients.
Aassist the Relocation Readiness Program Manager in purchasing items and picking Lending Closet items from the purchase store or mailroom.
Wiesbaden Welcome Packets : Assemble and keep up-to-date Wiesbaden Welcome Packets (hard copy and electronic versions) available for inbound personnel and their Families.
Request and maintain latest copies of booklets, flyers, informational materials which are part of the Wiesbaden Welcome Packets.
Contractor shall produce a minimum of sixty (60) Wiesbaden Welcome Packets (hard-copy) bi-weekly for Assist the Relocation Program Manager in updating information on the Military INSTALLATIONS website distribution.
Relocation Services / Briefings to Outbound Transferees : Assess client’s individual or Family needs and particular relocation circumstances; utilizing approved Relocation Readiness tools and resources Support Services to Programs for Spouses - Foreign Born Spouses Group (known as Meet-up) and Hearts Apart Program : Organize and facilitate events in support of the Foreign Born Spouses Meet-up and Hearts Apart Program.
Plan a a 12-month program of events / classes for each program.
Make monthly contact and provide follow-up services to Families identified as having a foreign-born spouse.
Follow-up services may include providing information on ESL / German Language classes, the Multi-Cultural Spouses’ Club, the ACS HNO course & walking tours.
Make initial contact with the identified family who have been referred by the Relocation Readiness Program Manager within three (3) business days of being presented the Foreign Born Spouse Informational Survey or is identified as a Family Member who are separated from their Sponsors due to long term TDY, temporary assignment or deployment.
Spouse Orientation Program : Provide briefing on the Relocation Program to include the Sponsorship Program as part of the Spouse Orientation agenda.Organize and lead the Spouse Orientation in the absence of the Relocation PM.
Assist in the set-up and break down, registration and preparation for the Spouse Orientation event including assembly of handouts / flyers, making copies of packet materials, putting together and distribution of program promotional materials if the Relocation Manger is not available.
Assist the Relocation PM during the event and in performing follow ups with the event attendees to solicit feedback, distribute and collect Sponsorship Survey forms.
Sponsorship Program : Provide Sponsorship classes / trainings to units, agencies and individuals at ACS or a designated training venue.
Promote and administer the Spouse Sponsorship program to include offering the program to newly arrived personnel and their spouses.
Keep a database of all the units / agencies with their Sponsorship training status, Sponsorship POC for the unit / agency and number of soldiers / employees trained.
Database of unit / agency trained shall be updated every quarter.
Provide pre-departure assistance and post-arrival settling-in services by addressing Sponsorship requirements of the Soldier and their families, assessing and referring their needs to the available community resources.
Coordinate with the School Liaison Officer in providing Youth Sponsorship training within the Wiesbaden Department of Defense Education Activity (DoDEA)schools.
Contractor shall offer youth Sponsorship training on a monthly basis.
Assist the Relocation Program Manager and attend the Relocation Assistance Coordinating Council (RACC) meeting, as scheduled, to record the meeting minutes.
