Secretary & Administrator– Fixed term contract
A Japanese trading company seeks a Secretary & Administrator at their office in Amsterdam.
The position-holder will work closely with and assist in the day-to-day activities of the CEO. Additionally, will support the other Administration departments in the Amsterdam office and support the other expatriates.
Fluent English and Dutch is required.
Understanding of Japanese culture and some Japanese skills will be advantageous.

WORKING HOURS : 9 : 00-17 : 30
SALARY : up to €40k + benefits, depending on experience

RESPONSIBILITIES : PA to the CEO
PA to the CEO
- Arranging all aspects of the CEO’s business trips including flights, transfers, hotels, and consular arrangements.
- Preparing all aspects of the CEO’s internal and external appointment.
- Arranging claims of CEO’s expenses and proceeding related slips, and debit notes etc for business trips and entertainments.
- Inputting and managing the CEO’s personal income tax return at Deloitte the Global Advantage Organizer inclusive of inputting GA Calendar.
- Looking after the CEO’s residence.
- Sending, receiving distributing the CEO’s mail.
- The CEO’s mail, printout of required documents, acquisition of signatures
related to them, reply and sending
Reception of the CEO’s customer
Administrator
- Inputting the booking data and some dates to the Accounting and Finance system.
- Supporting expatriates with their benefits like Expat’s residence,
settlement for HQ benefit (Kid’s education cost, Language allowance etc)
and accommodating arrangements
- Handling office facility management as PIC for the relevant vendors
- Reception of the customers
- Taking charge of office supplies including stationery, supplies to canteens
- Managing daily post for all departments (including subsidiary companies in the office)
- Arranging logistics expatriates and other postal matters
PERSONAL SKILLS AND QUALIFICATIONS :
- Fluent English and Dutch (Japanese language is a bonus, but not an essential)
- Good IT skills (Word, Excel, PowerPoint)
- Secretarial experience in the Netherlands is desirable
- Experience working in a Japanese business environment is highly advantageous
- Excellent verbal and written communication to deal with internal and external stakeholders
- Flexible and enthusiastic nature
- Ability to work effectively across different cultures
- Self-motivated, proactive person who can work autonomously
