Hauptaufgaben
Provides administrative and medical support that requires the application of extensive guidelines and specialized knowledge for the FAP, particularly in the provision of the administration of FAP records (paper-based and automated / Family Advocacy System of Records-FASOR). Provides assistance in the management, evaluation, and reporting of child and intimate partner abuse cases. Coordinates and administrates the CRC for the Chairperson, which includes receiving and opening alleged incidents of abuse; scheduling CRC meetings; ensuring CRC members and commanders are present; preparation of the agenda; entering the demographic, summary and treatment information into the automated system (FASOR) for use by the CRC; ensuring incidents are presented within regulatory timeframes; ensuring that medical evaluations and reports are available to the CRC; entering the votes of the CRC members; finalizing and submitting results to the Central Registry (CR); recording and completing CRC minutes for the MTF and garrison / installation commander's signature; preparing notification letters to the commander, Soldier and Family member; coordinating file transfers, closure and reviews; monitoring incidents for review by the CRC. Receives reports of child or intimate partner abuse and assists reporting person or agency in providing pertinent and concise information necessary for risk assessment and timely intervention to prevent further violence.
Provides clerical / administrative and automation support for FAP and / or Social Work Services using multiple computer systems and technologies, including Microsoft Office (Word, Excel, Access), FASOR, Composite Health Care System (CHCS), Allied Health Longitudinal Technology Application (AHLTA) and Defense Manpower Human Resource System information (DMHRSi). Operates a personal computer to input, store, retrieve and manipulate data and create graphics as well as to complete required training. Uses new technologies such as teleconferencing, videoconferencing, web conferencing and voice recognition systems to support communication efforts. Uses a variety of software programs to create database files, retrieve reports, statistical data, and rosters; prepares reports; creates or edits all forms of military correspondence; takes minutes from various meetings; uses CHCS automated system to schedule, document, record, and track clinic / patient activities. Operates typewriters, word processors, and / or computer terminals and related equipment to produce documents and reports. Creates and maintains data base information, narrative materials, and statistical reports utilizing word processing and spreadsheets software. Prepares documents in draft and final form, ensuring grammar, format, correct procedures, and correspondence requirements etc. Refers to technical guidelines, manuals, and precedents to facilitate assignments. When creating reports, uses judgment regarding form and arrangement of statistical / tabular material involving numerous headings and subheadings. Types FAP CRC minutes, agendas, incident summaries, treatment plans and incident reviews for the installation. Types notifications of abuse incident letters to commanders, referral letters to State Child Protective Service agencies and a variety of reports and correspondence pertaining to FAP for the installation. Coordinates appointments, follow-up contacts, and notifications to commander, Soldiers, Family members, community agency representatives, and post personnel regarding evaluation and intervention. Coordinates, reviews, and controls suspense actions. Manages active and inactive files and records reflecting status of all Social Work assigned suspense actions; reports and follows up on late suspense, providing courtesy reminders as needed; maintains related statistical data and prepares monthly reports. Coordinates and determines need for extension of suspense dates and, when necessary, assumes responsibility for extending suspense and notifying appropriate personnel. Controls the receipt and distribution of correspondence, reports, and related materials. Reviews and processes incoming and ongoing correspondence to include reports, memorandums, and messages. Assumes responsibility for adherence to privacy and security requirements with ensuring correspondence is administratively correct, properly placed in correct action folder, and tabbed as appropriate; and that signature requirements are clearly reflected. Establishes suspense date as required and prepares the appropriate suspense control form and records.
Maintains Records and Information Directories. Initiates and assembles records in sequential and chronological order. Reviews record prior to appointment for complete and accurate information. Oversees security of records. Maintains administrative and FAP records. Controls the filing system of open and closed Family Advocacy records. Ensures that the records contain all the forms and data required by DoD, DA and Medical Command (MEDCOM), and Joint Commission (JC). Moves records from the open and closed location, when appropriate. Maintains an automated system for locating open and closed case records. Prepares records for transfer in and out of the MTF or Clinic. Updates and maintain the Family Resource Directory. Keeps directory current by revising to incorporate changes in agency policies, duty hours, location, and eligibility requirements.
Performs receptionist / clerical support. Receives telephone calls and visitors to the service; determines the source of the call or visit; takes messages. Answers questions regarding substantive matters that may require in-depth familiarity of FAP policy as well as regarding cancellation of appointments, clinic hours, and release of information on patient's appointments. Relays messages, considering the nature of incoming patient information and the need for promptly alerting the technical staff. Keeps log of patients seen daily according to military status (i.e., active duty, dependent, retired), and type of appointment (i.e., new patient, follow-up, testing). Provides information and assistance to Service / Family members on services available. Processes all incoming and outgoing mail and distribution. Receives and reviews incoming correspondence.
PERFORMS OTHER DUTIES AS ASSIGNED.

E&T Level I : 2 years of general experience as described below.
Current employees who do not meet E&T Level I and who are not in the same or similar occupation, must have 2 years of creditable experience that included simple clerical work in an office or store, working with computers, bookkeeping, making and recording inventories, telephone marketing, arranging for events or as a cashier, etc.
E&T Level II : 1 year of general experience as described below.
E&T Level III A and IV A : No additional experience required, however, the completed apprenticeship must have been as a Doctor's Assistant, or in a commercial, business or administrative occupation, e.g. Industriekaufmann / frau, Kaufmann / frau im Gross und Einzelhandel, or in steuer- und wirtschaftsberatenden Berufen, Rechtsanwaltskanzleien, Banken or similar occupations.
E&T Level III B and C : No additional experience required.
E&T Level IV B and C : Not creditable for positions in this occupational series
E&T Level IV D and V : No additional experience required.
General Experience : Experience which includes simple clerical work in an office or store or working with computers, as a cashier, bookkeeping, making and recording inventories, telephone marketing, arranging for events, etc.
