Business Administrator
Our global client is at an exciting phase of start-up, having founded 4 years ago. Employing circa 150 staff with an emphasis on leading the way to democratize AI on mobile apps for businesses, they are now keen to secure a new Business Administrator / Executive Assistant to support the leadership team, specifically the CEO, based in Munich with hybrid working.
You will need to be motivated, energized and an innovative Executive to provide full administrative support to the CEO & Founder.
Ideally you will have a passion and keen interest within Technology and be driven to work in a very creative and innovative space.
Responsibilities
Work with the CEO helping to ensure their time / diary is effectively utilized whilst scheduling meetings and appointments for other executives and team members.
Be an ambassador for the business, keeping the CEO completely abreast of any internal communications that may be relevant.
- Monitor and track project statuses and deadlines, providing the senior stakeholders with regular updates and any variances.
- Complete operational requirements by scheduling and assigning administrative projects and expediting work results.
- Plan and coordinate company events and meetings, working to agreed budgets whilst bringing creativity.
- Maintain financial reports by collecting, analyzing, and summarizing accounting information.
- Book travel arrangements for executives, including flights, hotels, and transportation, working proactively to ensure that all parties have complete transparency to assist with their logistics.
- Lead the office management of the Munich office, working with vendors, 3rd party support and suppliers. Assist with any fixed assets and help create processes and documentation to ensure the office runs smoothly.
- Assist in other administrative tasks as needed, working with the CEO to always promote a vibrant and collaborative working culture.
Requirements
- 4+ years of working in a support role or in a similar capacity with strong experience and exposure of managing communications and schedules of senior executives.
- Previous experience in coordinating complex itineraries and working across various time zones.
- First class written and verbal communication skills in English (German language an advantage but not essential). Exemplary customer service and stakeholder management skills essential.
- Proficient in MS Excel, Word and Outlook and other office management tools and applications.
- Ability to handle confidential information with discretion.
- Strong attention to detail and ability to multitask. Good numerical skills.
