Your mission :

Like most companies, Jimdo has significant expenses for technology and software, with contracts ranging from tens of thousands of euros to several million euros per annum.

To help us track and optimise these, Jimdo is looking for a Contract & Finance Administrator to join us and help us manage supplier relationships and ensure our procurement processes are efficient and effective.

You will be reporting into the Head of Finance.

What you'll be doing :

  • The administration of purchase requests; for instance reviewing contracts, liaising with Legal, getting budget approval from Finance, and managing the signature process.
  • Administration of contract renewals & upcoming contract expiration, liaising with Contract Owners, Legal, Finance & IT-Security.
  • Manage register of Externals (Freelancer, Personnel Leasing, Consultants, etc.).
  • Create trello cards for IT-Operations for any new External and any leavers to ensure IT-Ops can manage their accounts.
  • Manage the creation, signature and storage of NDA’s.
  • Administrate Jimdo's digital credit card tool; for instance approve and review expenses, and maintain the approval workflows and policies.
  • Keep procurement policy updated and make it available to externals when needed.

Requirements :

  • 3-5 years of experience in administration; with a focus on contracts, finance, purchasing or procurement, in IT and technology companies.
  • Excellent administrative skills at all levels.
  • High ability to engage and manage key stakeholders and suppliers.
  • A result-oriented approach, with ability to plan and deliver against project deadlines.
  • Analytical skills with a quantitative mindset.
  • Capable of using Excel and Powerpoint to build presentations and communicate complicated topics.
  • Fluency in both German and English.
  • Ideally we would like this person to be based in Hamburg, but the person may be based in wider Germany if willing to travel on occasion.
