Description
Your responsibilities will include managing calendar schedules, arranging conference calls in various time zones, organizing internal and external meetings, ensuring proper venue setup, and preparing necessary documentation.
If needed, you will also be responsible for documenting meeting minutes.
- You will be assisting with administrative tasks associated with client accounts, overseeing the complete life cycle of client files from initiation to closure along the value chain.
- Handling internal and external communication like emails and phone calls relating to client portfolios will be another essential part of your role.
You will maintain records electronically and in hard copies, ensuring proper document filing following the relevant protocols.
- It will be your duty to guarantee that the assigned portfolios comply with the company's regulations and standards. Regularly communicating with departments like KYC and risk management will also be necessary.
- Keeping our CRM database updated regularly is crucial for this role.
- Monitoring the financial aspects of client files throughout their lifecycle and ensuring that billing system parameters and data are accurate and aligned with customer instructions is key.
You will track budget limits consistently to meet deadlines.
Filing documents correctly in the designated software and adhering to regulations, including filings with public authorities, will be a part of your daily tasks.
Profile
- You hold a degree in Office Management, International Administrative Management or equivalent.
- Proficient time management skills, a knack for multitasking, and the ability to prioritize tasks are essential for this role.
- Ideally, you possess prior experience as an assistant in an international setting, particularly in the advisory or financial sector.
- Fluency in both written and spoken German at a native speaker level and English is a must, with a good to basic understanding of French being advantageous.
- A high level of proficiency in MS Office is required.
- Your mindset is service-oriented with a keen attention to detail and strong problem-solving abilities.
- Capable of working autonomously yet collaboratively within a team.
- Demonstrated ability to handle sensitive and confidential information discreetly.
