Fujifilm Healthcare Europe are looking for a HR Coordinator to join our European HR team based in Ratingen. The European HR team is made up of specialist HR functions so we need someone who will be able to support and fill the gaps in our HR activities, is excited about introducing future solutions, platforms and processes, has strong organisational capabilities and excellent communication skills.
What you'll be doing :
- Manage all incoming post and ensure appropriate action is taken
- Set up purchase requests and new vendor accounts and ensure all invoices (external and internal) are paid within specified times
- Set up and manage employee records ensuring compliance with GDPR regulations
- Support employee requests for proof of employment (eg reference letters, proof of income)
- Support payroll deliverables as needed (including contacting relevant agencies)
- Align with the European Payroll Specialist to ensure that time and attendance is efficiently manged (reporting and management of vacation, sickness, overtime, time off in lieu)
- In conjunction with Talent Acquisition and HR Business Partners, manage the processes related to employee hiring (coordinate interviews, request approval to hire from relevant Works Councils, draft employment contracts, issue offers to candidates, oversee returns and follow up with Payroll)
- Manage onboarding and induction process
- Ensure the proper termination of all leavers (processes and equipment)
- Consolidate and monitor the return of all annual employee performance reviews
- Support all HR policies and procedures that embrace employee engagement and business efficiencies
- Consolidate and record training participation and employee competence for quality audit requirements
- Ensure execution of HR business processes in line with the Integrated Management System (IMS) and align local processes to comply with ISO 9001 and ISO 13485
Requirements
What you'll need :
- Work experience as an HR Administrator, HR Administrative Assistant, or relevant role
- University graduate, similar level of post school qualification or related experience
- Good experience with HR software (setting up and using) and other digital platforms
- Strong computer literacy (MS Office applications)
- Good analytical skills ability to run reports and understand results
- High appreciation of need for confidentiality and accuracy of work
- Excellent organisational skills, with an ability to prioritize important projects
- Strong written and verbal communication skills in English and German. Japanese language skills would be an advantage
- Self-motivated, self-starter who is drive by a need for results
- Able to work and thrive in an ever-changing environment
