The Institute of Inorganic Chemistry welcomes applications for the following position starting at the earliest possible date : Administrative Assistant (m / f / d) (salary scale 9a TV-L, 50 resp. 100 %)
The position is to be filled on a 50 % permanent basis. An additional 50% of working hours are limited until 31 May 2028 as part of a replacement.
Your role
The diverse and demanding range of tasks includes :
- Independent organization and management of university-wide collaborative research projects, collaborative research centers, and priority programs, as well as other third-party funded projects
- Processing and preliminary accounting of the institute’s invoices and monitoring of the budget funds in SAP
- Consulting the institute's executive committe on budget matters and creating overviews and presentations for board meetings
- Supporting the institute's management in the development and implementation of a strategy for public relations and external representation in the institute’s research area, as well as in the collection of key figures (third-party funds, publications, student numbers, etc.)
Who are we looking for?
The successful candidate must have completed the necessary professional training (Verwaltungsfachangestellte / Verwaltungsfachangestellter or Verwaltungswirtin / Verwaltungswirt).
They must have passed the corresponding examination (Verwaltungsprüfung I) or be eligible for career group 1 - entry level 2 within the field general service (Allgemeine Dienste).
Alternatively, the successful candidate must have equivalent professional training.
In addition, we are looking for a candidate with the following :
- We expect reliable, committed, and independent work ethics, organizational talent, resilience, and the willingness to continually adapt to new or changing tasks, as well as strong teamwork skills
- Fluent German and English language skills are desirable
- Proficiency in office software, particularly MS Office (Excel, Word), email, and calendar, is required
- Ideally, you have experience with website maintenance (e.g., TYPO)
- Experience with SAP-supported applications (accounting and personnel management) is also desirable
- Experience with administrative procedures in a state authority (e.g., university) or generally in as a secretary or assistant is preferable
